Officer Job Descriptions:

President or Co-Presidents

  1. Assume responsibility for meeting financial obligation to school finance committee.
  2. Have general supervision over all affairs of the club.
  3. Schedule and preside at all meetings.
  4. Arrange for chairpersons for all events.
  5. Meet with Sister Maureen (principal) and Father Fountain (spiritual director) to schedule events for upcoming year and arrange for use of social center facilities.
  6. Keep Principal and Vice Principal informed of all club activities.
  7. Be responsible for the key allowing access to the cafeteria and closet.
  8. Schedule and attend all board and general meetings.
  9. Assist with and attend events where needed.
  10. Promote friendly relations between all members.

Vice President

  1. Assist the President or Co-presidents; in their absence, assume the duties of the President.
  2. Oversee the Room Directors with their duties and assist them throughout the year (calling to remind them of various events).
  3. Prepare Room Director books.

Recording Secretary

  1. Keep a written record of all meetings and present the minutes.
  2. Keep written accounts of events for future reference (such as how many attended, any special requirements, etc.).
  3. Attend all board and general meetings.
  4. Assist with and attend events where needed.
  5. Order all supplies for the club (plates, napkins, cups, etc.).

Treasurer

  1. Collect and have charge of the funds of the club.
  2. Pay all bills as authorized.
  3. Present a statement of the club’s financial affairs at each meeting.
  4. Work closely with the Financial Secretary in keeping records accurate and current. Have books and accounts (including envelopes) in order to turn over to the Auditor on July 31st.
  5. Attend all board and general meetings
  6. Assist with and attend events where needed.
  7. Count money along with the Financial and Assistant Financial Secretaries for the weekends of the Holly Fair and Auction.

Financial Secretary and Assistant Financial Secretary

  1. Deposit all incoming money including the collection of SJMC pizza and hot dog money from school on assigned days
  2. Keep current, accurate and detailed records of money deposited
  3. Collect dues and provide a list of paid members to appropriate person for inclusion into the SJMC book.
  4. Draw up and distribute event planner envelopes to chairpersons of each event
  5. Work closely with Treasurer in keeping records accurate and current
  6. Have books and accounts in order to turn over to the auditor on July 31st.
  7. Attend all board and general meetings.
  8. Assist with and attend events where needed.
  9. Count money with the Treasurer during the Holly Fair and Auction weekends.

Corresponding Secretary

  1. When necessary, handle all correspondence of the club (i.e. thank you notes, etc.).
  2. When necessary, arrange for the copying and distribution of flyers.
  3. When required, send out bulk mailings.
  4. Send out flyer reminding members of the general meeting.
  5. Attend all board and general meetings.
  6. Assist with and attend events where needed.

Publicist

  1. Be responsible for all publicity for the club.
  2. Attend events and take photographs, or arrange to have them taken, for publication in local newspaper.
  3. Advertise upcoming events, including fund-raisers, in local media.
  4. Obtain and arrange for distribution of flyers throughout the city when necessary.
  5. Attend all board and general meetings.
  6. Assist with and attend events when needed.

Auditor

  1. Review all financial books and prepare audit of said books.
  2. Present written report of audit at the October general meeting.
  3. Attend all board and general meetings.
  4. Assist with and attend events where needed.

Pre-K Liaison

  1. Attend and speak at the Pre-K and Nursery meetings in September.
  2. Attend all board and general meetings and identify events for the next month.
  3. Get committee chair’s name and phone numbers.
  4. Contact chairperson for each upcoming event and determine if the event is age appropriate for 3-4 year olds. Get details about the event so that you can write a description; if the event is appropriate you should put together a list and description of each event; this list is posted inside the front door of the Early Childhood Center after it has been reviewed by Sister Judith.
  5. Organize Catholic Schools week luncheon.
  6. Communicate with Sister Judith on the details of events that were determined inappropriate so that she can respond to inquiries.
  7. Help with Happiness Day planning.
