







 | Volunteer Roles:President or Co-Presidents - Assume responsibility for meeting financial obligation to school finance committee.
- Have general supervision over all affairs of the club.
- Schedule and preside at all meetings.
- Arrange for chairpersons for all events.
- Meet with Sister Maureen (principal) and Father Fountain (spiritual director) to schedule events for upcoming year and arrange for use of social center facilities.
- Keep Principal and Vice Principal informed of all club activities.
- Be responsible for the key allowing access to the cafeteria and closet.
- Schedule and attend all board and general meetings.
- Assist with and attend events where needed.
- Promote friendly relations between all members.
Vice President - Assist the President or Co-presidents; in their absence, assume the duties of the President.
- Oversee the Room Directors with their duties and assist them throughout the year (calling to remind them of various events).
- Prepare Room Director books.
Recording Secretary - Keep a written record of all meetings and present the minutes.
- Keep written accounts of events for future reference (such as how many attended, any special requirements, etc.).
- Attend all board and general meetings.
- Assist with and attend events where needed.
- Order all supplies for the club (plates, napkins, cups, etc.).
Treasurer - Collect and have charge of the funds of the club.
- Pay all bills as authorized.
- Present a statement of the club’s financial affairs at each meeting.
- Work closely with the Financial Secretary in keeping records accurate and current. Have books and accounts (including envelopes) in order to turn over to the Auditor on July 31st.
- Attend all board and general meetings
- Assist with and attend events where needed.
- Count money along with the Financial and Assistant Financial Secretaries for the weekends of the Holly Fair and Auction.
Financial Secretary and Assistant Financial Secretary - Deposit all incoming money including the collection of SJMC pizza and hot dog money from school on assigned days
- Keep current, accurate and detailed records of money deposited
- Collect dues and provide a list of paid members to appropriate person for inclusion into the SJMC book.
- Draw up and distribute event planner envelopes to chairpersons of each event
- Work closely with Treasurer in keeping records accurate and current
- Have books and accounts in order to turn over to the auditor on July 31st.
- Attend all board and general meetings.
- Assist with and attend events where needed.
- Count money with the Treasurer during the Holly Fair and Auction weekends.
Corresponding Secretary - When necessary, handle all correspondence of the club (i.e. thank you notes, etc.).
- When necessary, arrange for the copying and distribution of flyers.
- When required, send out bulk mailings.
- Send out flyer reminding members of the general meeting.
- Attend all board and general meetings.
- Assist with and attend events where needed.
Publicist - Be responsible for all publicity for the club.
- Attend events and take photographs, or arrange to have them taken, for publication in local newspaper.
- Advertise upcoming events, including fund-raisers, in local media.
- Obtain and arrange for distribution of flyers throughout the city when necessary.
- Attend all board and general meetings.
- Assist with and attend events when needed.
Auditor - Review all financial books and prepare audit of said books.
- Present written report of audit at the October general meeting.
- Attend all board and general meetings.
- Assist with and attend events where needed.
Pre-K Liaison - Attend and speak at the Pre-K and Nursery meetings in September.
- Attend all board and general meetings and identify events for the next month.
- Get committee chair’s name and phone numbers.
- Contact chairperson for each upcoming event and determine if the event is age appropriate for 3-4 year olds. Get details about the event so that you can write a description; if the event is appropriate you should put together a list and description of each event; this list is posted inside the front door of the Early Childhood Center after it has been reviewed by Sister Judith.
- Organize Catholic Schools week luncheon.
- Communicate with Sister Judith on the details of events that were determined inappropriate so that she can respond to inquiries.
- Help with Happiness Day planning.
